  • 24/7 — Continuous triage — new mail sorted within minutes of arriving, around the clock
  • 100% — Of actions taken on a message recorded against it — what was attempted, what came back, and whether it succeeded
  • 0 — Mailbox actions that can't be undone — removed mail goes to a recoverable quarantine, never a hard delete

Shared inboxes don’t scale with people

A shared inbox works fine at ten emails a day. At hundreds — suppliers, invoices, travel, one-off requests — sorting becomes a daily manual job.

It is slow, it is inconsistent between staff, and it is almost impossible to reconstruct afterwards. Hiring more people to read the same mail is expensive and does not fix the inconsistency. Mailbox rules break the moment reality shifts. And nobody can answer the simple question: what happened to that email, and who decided?

A clerk, not a filter

Think of a sharp, tireless mailroom clerk. It reads what arrives, works out what each message is, and puts it where your team would have put it.

It uses the folders you already have as its categories, so nothing about the way you organise has to change.

  • Sorts by what a message actually is — supplier, invoice, travel, enquiry, or whatever your own categories are.
  • Holds anything it is unsure about. It does not guess. Uncertain items wait for a person, already flagged and explained.
  • Learns from corrections. When someone overrides a decision, that becomes the standard. New rules are proven before they are trusted to act on their own.
  • Shows its working. Every decision and action is recorded against the message, so you can see how any email was handled and correct it in one click.
  • Passes work onward into your ticketing and business systems, not just into a folder.

You decide how much it does

Automation here is something you turn up, not something that happens to you.

A new mailbox watches silently first. You can see exactly what it would have done before it is allowed to do anything, and you switch it on one mailbox at a time. If something ever looks wrong, a single control returns everything to watching only.

Mail it takes out of a mailbox goes somewhere you can get it back from. It connects with the narrowest access it needs, each customer’s mail is kept separate from every other’s, and you set how long records are held before they are purged. A separate internal team reviews the security of the service before any customer is switched live.

Where it fits

  • Teams running high-volume shared inboxes — accounts, orders, procurement, travel, support.
  • Operations where consistency and a clear record matter, such as regulated, industrial and finance environments.
  • Groups handling many mailboxes, or many clients, from one team.
  • Anyone whose mailbox rules keep breaking as the work changes.
  • Businesses already on Microsoft 365 who want the benefit without moving platform.

See it on your own mailbox

The most convincing demonstration is your own inbox. Mailroom can run in watching-only mode against a real shared mailbox — moving nothing, but showing exactly what it would do — so you can judge it before a single email is touched.
